PilotNotify ("we," "us," "our") is an SMS-based flight notification service for general aviation pilots. This policy describes how we collect, use, and protect information when you use our website, dashboard, and SMS services at pilotnotify.com.
Account information: When you register, we collect your name and phone number. We use your phone number for SMS verification, to receive your inbound flight texts, and to send you verification codes, flight confirmations, METAR weather briefings, and landing check-in prompts.
Contact information: When you add contacts to your notify list, we collect their name, phone number, and optional relationship label (e.g., "Spouse," "Parent"). We send contacts an opt-in verification text and only message contacts who have replied YES.
Flight data: When you send a flight alert (via SMS or the dashboard), we store the tail number, aircraft type, origin airport, destination airport, estimated time enroute, and timestamp. This data is used to deliver notifications and display your flight history.
Payment information: If you upgrade to Pro, payment is processed by Stripe. We do not store your credit card number. We store your Stripe customer ID and subscription ID to manage your plan.
Usage data: We collect basic server logs (IP address, request timestamps, user agent) for security, debugging, and abuse prevention.
We do not sell your information. We do not use your data for advertising. We do not share your data with third parties except as described below.
We use the following third-party services to operate PilotNotify:
Tracking links included in Pro flight notifications direct contacts to FlightRadar24 and FlightAware. We do not control those websites and their own privacy policies apply.
PilotNotify operates an SMS messaging program that sends flight-related notifications. By signing up for PilotNotify and providing your phone number, you expressly consent to receive recurring automated SMS/text messages from PilotNotify at the phone number you provide, including messages sent by autodialer. Consent is not a condition of purchase.
PilotNotify sends the following types of SMS messages:
Message frequency varies based on usage. Pilots typically receive 1–5 messages per flight (verification codes, confirmations, weather briefings, check-in prompts). Contacts typically receive 1–2 messages per flight (departure alert, landing confirmation). No marketing or promotional messages are sent.
Message and data rates may apply. Check with your wireless carrier for details about your text plan. PilotNotify does not charge for SMS messages, but your carrier may charge standard messaging rates.
For pilots: By creating an account at pilotnotify.com and verifying your phone number with an SMS code, you consent to receive the transactional messages listed above. A checkbox and consent disclosure are presented during sign-up.
For contacts: When a pilot adds a contact, the contact receives an opt-in message: "PilotNotify: [Pilot Name] wants to add you to their flight notification list. You'll receive a text whenever they fly with their route, aircraft, and ETA. Reply YES to opt in, or ignore this message to decline." Only contacts who reply YES receive subsequent messages.
You can opt out of PilotNotify SMS messages at any time by replying STOP to any message. You may also text the keywords STOPALL, UNSUBSCRIBE, CANCEL, END, QUIT, or REVOKE. Upon opting out, you will receive a single confirmation message: "You have successfully been unsubscribed. You will not receive any more messages from this number. Reply START to resubscribe." No further messages will be sent unless you re-subscribe.

For help with PilotNotify SMS, text HELP to our number. You will receive: "Reply STOP to unsubscribe. Msg&Data Rates May Apply." You can also contact us at support@pilotnotify.com.
Carriers (T-Mobile, AT&T, Verizon, etc.) are not liable for delayed or undelivered messages. PilotNotify is not responsible for messages that are not delivered due to carrier filtering, network congestion, device incompatibility, or other factors outside our control.
PilotNotify SMS is supported on all major US carriers including AT&T, T-Mobile, Verizon, Sprint, and most regional carriers. Carrier coverage may vary.
We retain your account information and flight history for as long as your account is active. If you delete your account, we delete your personal data, contacts, and flight records within 30 days. Anonymized, aggregated data (e.g., total flights sent) may be retained indefinitely for analytics.
SMS verification codes expire after 10 minutes and are automatically purged from the database.
We protect your data using industry-standard practices including HTTPS encryption in transit, JWT-based authentication with rate limiting, hashed verification codes, and server-level firewalls. However, no method of electronic storage is 100% secure, and we cannot guarantee absolute security.

PilotNotify is not intended for use by anyone under 18. We do not knowingly collect information from children.
We may update this policy from time to time. If we make material changes, we will notify you via SMS or the dashboard. The "last updated" date at the top reflects the most recent revision.
